Why the calendar beats posting on vibes
When posts are decided the morning they go out, three things happen. You default to whatever is easiest to make, your pillars drift, and the hard-but-valuable posts (real education, real proof) never get made because they take more than an hour. A calendar planned a month ahead removes the daily decision. You batch, you get ahead, and quality goes up because nothing is rushed.
The columns, and why each one earns its place
- Date and Day. One row per post. Seeing the week shape at a glance is the whole point.
- Pillar. The single most important column. Tag every post with the content pillar it serves so your mix stays balanced instead of drifting into all-promo or all-memes. (See our Content Pillar Planner for the pillar system itself.)
- Platform and Format. Where it runs and what it is: Reel, Carousel, Story, Short, Static. Naming the format up front stops the “wait, is this a video or a graphic” scramble on production day.
- Hook / Idea. Write the hook first. If you cannot write a hook that would stop your own scroll, kill the post before you spend a dollar making it. This column does more to protect quality than any other.
- Status. Where the post is in the pipeline.
- Asset Link. Paste the final file (Drive, Dropbox, wherever) so the person scheduling never has to go hunting.
How we fill it, the 30-minute version
Once a month, block 30 minutes. Start with the Pillar column, not the ideas. Decide roughly how many posts go to each pillar for the month, then fill the Hook column pillar by pillar. Working one pillar at a time is faster than jumping around because you stay in one headspace. Only after the hooks are written do you assign Platform and Format. Hooks lead, formats follow.
The status flow
Move each row left to right as it gets made:
Idea → Scripted → Filmed → Scheduled → Live
At a glance you can see what is stuck. If a row has sat on “Idea” for two weeks, it is either not good enough to make or it needs to be handed to someone. Either way, the calendar just told you.
The download is pre-filled with an example month so the system is obvious. Delete the example rows and run your own.
